Shree Rajput Dhobi Samaj – London (“SRDSL”) Privacy Policy sets out how SRDSL collect, use and store your personal information (this means any information that identifies or could identify you). SRDSL want everyone who supports The Samaj, or who comes to The Samaj for support, to feel confident and comfortable with how any personal information you share with SRDSL will be looked after or used. SRDSL Privacy Policy may change from time to time and SRDSL will advise you when changes occur. SRDSL are committed to treating you with respect and openness.

How SRDSL collect information about you?

SRDSL wants to ensure you receive the communications most relevant to you be it through visiting The Samaj’s website, receiving mail by post, emails or telephone calls (including whatsapp messages).

SRDSL collect information from you when you interact with SRDSL directly. This could be if you become a member of SRDSL, if you ask about activities, register for an event or make a donation. This includes when you telephone SRDSL, visit the website or get in touch by post, email or in person.

Personal Information

Personal information includes details such as your name, date of birth, email address(es), postal address and telephone number(s), as well as information you provide in any communications between SRDSL and you.  You will have given this information whilst becoming a member of SRDSL.

SRDSL will mainly use this information.

•To process your subscriptions, donations or other payments.

•To provide the services or goods that you have requested.

•To update you with important administrative messages about an event/function, services or goods you have requested.

•To keep a record of your relationship with us.

•To contact you about any activities undertaken by SRDSL and how you can help support.

• If you do not provide this information, SRDSL will not be able to sign you up for a particular event or for any communications from SRDSL.

Sharing your Information

The personal information about you will mainly be used by the executive committee in performing their duties. SRDSL will NOT sell or share your personal information with other organisations such that they can contact you for any marketing activities.

SRDSL may however share your postal address with trusted partners and suppliers who work with SRDSL on or on SRDSL’s behalf to deliver services, but processing of this information is always carried out under SRDSL’s instruction. SRDSL will ensure they store the data securely, delete it when they no longer needed and never use it for any other purposes.

Legal disclosure

We may disclose your information if required to do so by law, for example, to comply with applicable laws, regulations and codes of practice or in response to a valid request from a competent authority.

Keeping your information safe

SRDSL take looking after your information very seriously. SRDSL have implemented appropriate physical, technical and organisational measures to protect the personal information SRDSL has under its control, both on and off-line, from improper access, use, alteration, destruction and loss.

Unfortunately, the transmission of information using the internet is not completely secure. Although SRDSL will do their best to protect your personal information, SRDSL cannot guarantee the security of data transmitted to The Samaj’s website.

How long we hold your information for

SRDSL will only keep the information as long as is reasonable and necessary for the relevant use of SRDSL activities and to fulfil any statutory obligations.

Your rights

You have various rights in respect of the personal information held about you.  If you wish to exercise any of these rights or make a complaint, you can do so by contacting The Secretary of SRDSL.

Access to your personal information

You have the right to request access to a copy of the personal information held about you, along with information on what personal information SRDSL use, why SRDSL use it, who SRDSL share’s it with, how long SRDSL keep it for and whether it has been used for any automated decision making. You can make a request for access free of charge.  All requests must be in writing and you will need to provide evidence of your identity, at the time the request is made.

Right to object

You can object to SRDSL processing of your personal information where SRDSL are relying on a legitimate interest (or those of a third party) and there is something about your particular situation which makes you want to object to processing on those basis. You also have the right to object where SRDSL are processing your personal information for direct marketing purposes.  Please contact SRDSL as noted above.

Consent

If you have given consent to use personal information, you can withdraw your consent at any time.

Rectification

You can ask to change or complete any inaccurate or incomplete personal information held about you.

Erasure

Your personal information will be deleted where it is no longer necessary for SRDSL to retain it, you have withdrawn consent, or where SRDSL have no lawful basis for keeping it.

Restriction

You can ask to restrict the personal information SRDSL use about you.

Please note, some of these rights only apply in certain circumstances and SRDSL may not be able to fulfil every request.
